Privacy Policy
Howe Education is the trading name of Debbie Caines, a specialist SEN tutor based in the Arun district of West Sussex. This policy explains what personal information I collect when you enquire about or use my tuition services, why I collect it, and the rights you and your child have over it. I am the data controller for the information described here. You can contact me about anything in this policy at email me.
The information I collect
When you enquire or book tuition, I collect information from the parent or guardian holding parental responsibility. I do not collect information directly from children.
- Contact and account details — your name, email address, phone number, home address, and billing information.
- Information about your child — name, age, school, and details of their learning needs, which may include EHCP documents, assessment reports, and diagnostic information relating to conditions such as dyslexia, autism, or ADHD.
- Tuition records — session notes, learning plans, and progress reports I create during our work together.
Information about a child's health or special educational needs is special category data under UK data protection law and I treat it with additional care.
Why I collect it and my lawful basis
- To deliver tuition — providing the service you have engaged me for (performance of a contract).
- To plan and tailor sessions — processing SEN and assessment information with your explicit consent, which you may withdraw at any time.
- To keep proper records — maintaining progress notes and business records (legitimate interests).
- To meet legal obligations — safeguarding duties, and retaining financial records for HMRC.
Who I share it with
I do not sell personal information or share it for marketing. I share information only in these circumstances: with a Local Authority or commissioning provider (such as Targeted Provision) where they have engaged me to tutor your child and require progress reporting; with the appropriate authorities where I have a safeguarding concern and am required or permitted by law to disclose it; and with my professional advisers, such as an accountant, where necessary.
How long I keep it
I keep tuition and progress records for the duration of our engagement and for a reasonable period afterwards, after which they are securely deleted. Financial records are kept for six years as required by HMRC. Records connected to a safeguarding matter may be retained for longer in line with statutory guidance.
How I protect it
Records are stored securely, with digital files password-protected and paper documents kept privately. Access is limited to me.
Your rights
You have the right to ask for a copy of the information I hold, to have it corrected, to ask for it to be deleted, to restrict or object to how it is used, and to receive it in a portable format. Where processing is based on consent, you can withdraw consent at any time. To exercise any of these rights, email email me. If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
This website
This website uses two kinds of analytics. Cloudflare Web Analytics runs on the hosting infrastructure and reports aggregate visit numbers without setting cookies, fingerprinting, or collecting anything that identifies you; it is always on and involves no personal data. Google Analytics, loaded through Google Tag Manager, sets cookies only if you choose Accept on the consent banner shown on your first visit. If you reject, no analytics cookies are set and every part of the site works exactly the same. Where you accept, Google processes the resulting usage data on my behalf; you can change your mind at any time by clearing this site's data in your browser, which brings the choice back. If you email me, I use your message solely to respond to your enquiry.
Changes to this policy
I may update this policy from time to time. The date at the top shows when it was last revised, and significant changes will be flagged to current families directly.
